About Department of Human Services programs:

For the benefit of Cambridge residents, the Department of Human Service Programs (DHSP) develops and coordinates services that improve their quality of life. Motivated by the demands of the community’s inhabitants, DHSP offers comprehensive services and initiatives that affect nearly every sector of the municipality: from pre-schoolers to senior citizens, destitute families to school-aged children, non-profit organizations to local employers.

ABOUT THE ROLE:

The Administrative Assistant shall furnish the Cambridge Recreation Division with daily administrative support. The Administrative Assistant collaborates with other DHSP and community programs and reports to the Division Head for Recreation.

Essential Duties and Responsibilities:

  • Assist in the efficient operation of the Cambridge Recreation Division’s daily administration, including but not limited to:
    • Monitoring all Recreation expenditures and performing a monthly reconciliation
    • procuring materials
    • Contract construction
    • handling of invoices
    • managing outgoing and inbound email
    • preserving the storage of documents (GDrive and/or SharePoint).
    • Cooperate with allies in recreation
  • Provide support for data management.
  • Create documents, such as correspondence, by utilizing communication templates.
  • Perform special events and initiatives under the supervision of the Recreation Director and managers.
  • Assist with the onboarding and recruiting procedures for new employees.
  • Establish and uphold a centralized calendar that records special events and recreational activities.
  • Participate actively in the Race and Equity Initiative of the Department.
  • Collaborate with the communications staff of the DHSP in order to promote recreation programs.
  • Assist with the distribution of checks as required; collect and submit timesheets for weekly payroll operations; maintain an accurate active payroll list for seasonal part-time employees.
  • Maintain an inventory of facility and office supplies for the Gold Star Pool Recreation Office.
  • Participate in a range of events, committees, and meetings with internal and external stakeholders, as the Recreation Director instructs.
  • Coordinate the delivery and procurement of equipment for facilities, programs, and events.
  • Assist Recreation with front desk duties at various locations, such as answering phones, assisting with visitor greetings and point-of-sale systems, managing reservations, and addressing public inquiries.

Minimum Requirements:

Experience and Education

  • A minimum of three years of administrative and/or athletic experience is required.
  • Working knowledge of diverse populations.

  • Independent worker capable of adjusting to the demands of a fast-paced workplace.
